Billing Terms
What you are charged, when, how taxes are handled, and what happens when a payment fails.

Current status
StudentOS AI is free today and collects no payment details. These terms are published in advance so they are known before any paid plan launches, and they apply to a subscription only from the moment you purchase one.
1. Plans and prices
Prices, plan limits and billing intervals are those shown on our pricing page at the time you subscribe. That page is part of these terms. All prices are in US dollars unless stated otherwise.
Free and paid plans may carry usage limits, including quotas on AI features. We will show you where you stand against a quota rather than failing silently.
2. Recurring charges and authorisation
Subscriptions renew automatically. When you subscribe you authorise [TODO: Legal entity name] and our payment processor to charge your payment method the then-current fee, plus tax, at the start of each billing period, until you cancel.
- Monthly plans renew on the same day each month. Where that day does not exist in a shorter month, the charge falls on the last day of that month.
- Annual plans renew on the anniversary of the purchase.
- You can cancel at any time to stop the next renewal — see the Refund & Cancellation Policy.
- We email a receipt for every charge to the address on your account.
3. Payment methods
Payments are processed by a third-party payment processor. We do not receive or store your full card number — the processor holds it and returns only a token and the last four digits so you can identify the card.
You are responsible for keeping a valid payment method on file and for any fees your bank charges, including foreign-transaction or currency-conversion fees.
4. Taxes
Prices are exclusive of tax unless the checkout page says otherwise. Where we are required to collect sales tax, VAT, GST or a similar tax, it is calculated from your billing address and added at checkout, and it appears on your receipt.
You are responsible for any other taxes arising from your use of the Service. If you are tax-exempt — as some institutional customers are — send documentation to [TODO: [email protected]] before subscribing.
5. Failed payments
- If a charge fails we will retry over the following days and email you.
- We do not cut off access at the first failure. Your account enters a grace period of at least 7 days so you can update the card.
- If payment is still outstanding after the grace period, paid features are suspended and the account reverts to the free tier. Your data is not deleted and access is restored as soon as payment succeeds.
- We may charge a reasonable amount to recover fees imposed on us by a bank for a rejected payment, where the law allows it.
6. Changes to prices and plans
We will give at least 30 days’ notice by email before any price increase affecting your plan. Increases apply from your next renewal only, never mid-period, and you may cancel before they take effect. If we reduce a plan’s features materially, we will tell you and offer a pro-rata refund for the remainder of the paid period.
7. Billing disputes
If you think you have been charged incorrectly, email [TODO: [email protected]] within 60 days of the charge with the account email and the date and amount. We investigate and respond within 10 business days, and we refund anything we got wrong.
Please contact us before filing a chargeback with your bank. Chargebacks take weeks and often result in the account being suspended automatically while the dispute runs; we can usually resolve a genuine billing error in a day or two.
8. Institutional and invoiced accounts
Schools, departments and other organisations may be invoiced instead of paying by card. Invoices are payable within 30 days of issue unless the order form says otherwise. Where a signed agreement or purchase order exists, its commercial terms override this page to the extent they conflict.
Workspaces that supply their own AI provider key are billed for that usage by their provider directly, not by us.
